Here’s a very convenient way of viewing your Sharepoint lists and Outlook lists in one window. SharePoint Outlook Integration integrates Microsoft Outlooks with SharePoint’s libraries and lists, providing a foundation for transfer of crucial e-mail to specified libraries.

Backup your e-mails or attachments by either copying or completely moving an entire file from Outlook securely filing to an authorized SharePoint library.

Conveniently move multiple e-mail files by “drag & drop” function, or multiple attachments with “just a click” function while automatically overwriting any existing files.

Be more productive by accessing SharePoint directly from Outlook’s interface giving employees single location access for prompt customer or coworker replies.

Increase collaboration among team members by allocating files to libraries and lists. This thorough integration also allows for SharePoint options such as “Check-out, Workflow, etc.” using the power of SharePoint with the flexible Outlook.

Proactively manage contents by mapping out destinations of many e-mail classifications. Multiple libraries from SharePoint to Outlook interface allows for categorizing as well as management overview of teams using SharePoint’s library view.

Organize your SharePoint with automatic capture and extraction of attributes and metadata. Search through your e-mail or attachment libraries using SharePoint’s powerful search utility and establish a custom column in SharePoint using Metadata mapping.

In a Management position, Outlook Integration allows backup of e-mails on SharePoint for archival purposes in an event of a malicious virus or a system failure. Keeping a record library of vital e-mails is quite crucial and this archived data can also be managed from other entrusted employees as well as used for collaboration.

Does reminding your colleagues of upcoming deadlines too troublesome and takes a lot of your time? How about sending emails or even as far as SMS just to make sure everyone receives these reminders? It can take up too much of your time and even be a big distraction just keeping up with these reminders.

We’ve developed a collaborative software called SharePoint Alert Reminder Boost 2.0. We’ve had success with SharePoint Alert Reminder Boost 1.0 that we decided to up the features and let our users make the most of their alerts and reminders.

SharePoint Alert Reminder Boost 2.0 is created as a simple yet feature-packed program that would send those reminders for you at selected times. An e-mail or SMS would be sent to authorized recipients whenever an item is created, modified or deleted. Another great feature is that any new content is highlighted in the notification – saves you time as it makes the important points easy to spot. Plus reminders are automatically sent to users whenever a deadline is fast approaching.

SharePoint Alert Reminder Boost is a custom SharePoint workflow comprising of two separate workflows, the SharePointBoost Alert workflow and the SharePointBoost Reminder workflow. The solution is designed as an enhancement to the default SharePoint Alert Me for sending e-mail and SMS notifications.

Event-Triggered and Time-Triggered Notifications

The SharePointBoost Alert workflow works by sending event-triggered alerts to specified users. Users can be notified whenever an item is added, modified, and/or deleted.

The SharePointBoost Reminder workflow works by sending time-triggered reminders to specified users. Users can be reminded on a minutely, hourly, daily, weekly, monthly or yearly basis.

Complex Alert Conditions

SharePoint Alert Reminder Boost provides powerful and highly flexible conditions to determine at what time and under what circumstances e-mails should be sent, ensuring that users will only receive notifications that matter to them and only when they are required. Functions, operators and columns of the list are available as expressions to build these conditions.

Customizable Notification Content

SharePoint Alert Reminder Boost e-mail content can be customized almost like any e-mail in Outlook, giving you the option to modify fonts, include attachments, pictures or flash in the e-mail body.

When creating the content of the e-mail body, columns can be used as placeholders. This will ensure personalized and tailored e-mail contents when viewed by recipients, as item-specific information is displayed rather than just generic contents.

The subject of the e-mails can also be user-defined with your own text and column placeholders to match your specific needs.

Changes Highlighted in Notification E-Mail

Except for containing item information, which is an out-of-box function of SharePoint Alert Me, SharePoint Alert Reminder Boost marks the modified details in the e-mail body. Strikethrough represents deleted contents, while highlight means newly-added or modified contents.

Send Notifications to User/Group Columns

In addition to sending notifications to certain existing SharePoint users/groups (default SharePoint feature), SharePoint Alert Reminder Boost can also send notifications to user/group columns, including “Created By”, “Modified By”, and user/group columns like “Manager” in the current list as well as external lists. Furthermore, the recipients can be specified through e-mail addresses, columns containing e-mail addresses, and AD users/groups. These settings are available for To, CC, and BCC fields.

For instance, to inform a customer about the resolution of an issue, simply set up SharePoint Alert Boost workflow on the customer issue list and configure the “Customer E-Mail” column as the source for pulling the e-mail addresses of the recipients.

Managers, administrators, and ITs will be able to organize, manage and set permission access to all Sharepoint website content with Sharepoint Column/View Permission. Field-level or view-level are set for any list in a Sharepoint Site. With it, you can designate which users and groups have access rights to column contents, a particular list view, or even the ability to enter or change data in a particular list field, thereby enabling you to securely store both public and confidential corporate data within the same list.

Show or Hide Columns in a SharePoint List View

SharePoint Column/View Permission provides the ability to secure access to individual columns in list views or document libraries, making it an ideal solution for consolidating a broad spectrum of information into a centralized location without exposing secured data to unauthorized users. After configuring permissions for a SharePoint list view, only authorized users will see the content of a secure column as if it were a normal column, while unauthorized users will not see the content of the column at all. Column/View Permission also offers the ability to set individual columns as “read-only” in any list view, so that information can be viewed, but not edited, by users.

Form-level Permissions

With SharePoint Column/View permission, you can also assign form-level permissions for the “create new item”, “edit item” and “view item” forms, allowing you to hide specific fields completely, or restrict them to read-only access so users can see them, but cannot make changes. Now you can create custom forms for different employees, departments, and roles to streamline the data-entry process while at the same time limiting access to information.

Configuring permissions to hide or set fields as read-only on the form:

View-level Permissions

View-level permission settings in Column/View Permission control whether SharePoint list views are visible or hidden. By setting a default permission level for each view in a SharePoint list, you can ensure that your confidential information is accessible only to those whom you have granted access, for example, selecting “Hidden” as your default view permission level means that new user accounts created will not have access to any views unless you specifically grant them access permission.

Column/View Permission also gives you the ability to disable the ribbon buttons on the ribbon interface for each view in the list, meaning you can choose to disable any of the actions available by default in SharePoint without necessitating complex custom coding.

Set Permissions According to Conditions

Administrators and list owners can manage field-level access to items in a SharePoint list with conditions, so that the values of other fields in the same list or even fields from other SharePoint lists can determine access rights. Conditions will determine whether an item is fully visible, read-only, or hidden, and the parameters can be adjusted to apply to all users, a specific group or department, or even an individual employee.

All information related to an item that Sharepoint users want to look up is made possible with SharePoint Lookup Boost. The look up overview not only displays all items from which a specific item looks up, but also items which look up information from this item is shown. If SharePoint Lookup Column is used often, it builds relationship between items from different lists.

A two-way relationship is needed to be built between two items, for instance, if A look up information from B, B may also need to look up A. This operation is complicated and easy to make mistakes on. With SharePoint Lookup Boost, the two-way relationship can be easily displayed in a page without manually creating two-way Lookup columns. SharePoint Lookup Boost can search all items related to the specific item and display them through lists.

Related information for Brandysoft

SharePoint Lookup Boost is easy to use. Once Lookup Boost is installed, the shortcut directing to related information page will be added on the item edit menu as well as the item display-form toolbar. SharePoint Lookup Boost is a lightweight but very useful tool for your SharePoint.

It is a useful tool for managers, administrators, IT professionals and the likes that constantly have to refer to items and lists with lookup information.

Is it taking a long time to set up individual permissions for items on your Sharepoint list?

SharePoint Permission Workflow has offered a productive way for IT administrators to manage item-level permissions among all the users and user groups by streamlining the whole process.

With SharePoint Permission Workflow, item-level permissions are able to be automatically assigned to selected users and user groups for all items in a SharePoint list at one time. Administrators can set these item-level permissions for the existing items with just one click.

As new items are being created, as well as existing ones that are being modified, permission levels that previously configured in the Permission Workflow will be automatically assigned to the users and user groups involved. This means administrators will no longer be distracted from important projects by random assignments, which will considerably increase the time and efforts that can be spent on high-level administrative tasks.

Conditions are fully-customizable. Sharepoint Permission Workflow minimizes tedious setting-up administrators face whenever new items are created or modified.

To summarize:

Automatically assign item-level permissions to users and user groups for all items in a SharePoint list;

Assign item-level permissions to users and user-groups as items are created or modified;

Retroactively apply item-level permissions for previously existing items within a SharePoint list;

Determine the users and user groups that will be assigned custom permission settings according to conditions specified by the SharePoint administrator;

Import or export permission settings as an xml file.

SharePoint Outlook Integration Upgraded, Supporting SharePoint 2010

SharePoint Outlook Integration, which enables users to drag and drop email from Outlook into SharePoint folder, has upgraded. With this new version SharePoint Outlook Integration, users can use drag and drop Outlook emails and attachments into SharePoint 2010 folders or that of 2007.

SharePoint Outlook Integration offers various features which allow users to easily drag and drop Outlook emails to SharePoint folder. Apart from transfer emails, this tool also enables users to move attachments and set permissions on them after moved into SharePoint folders. All of those operations can be done through a window right beside on Outlook. This window gives its users a single location where SharePoint folder can be selected, and email and attachments can be transferred. It also provides a convenient way to check email in SharePoint folders.

It is a very useful tool for those who want to store Outlook emails on certain SharePoint folders, both for collaboration or backup purpose. With SharePoint Outlook Integration, users only need to select target folder from a small window presented by this tool, and select Outlook emails, and attachments if necessary, then drag and drop these emails and attachments into SharePoint folders. SharePoint Outlook Integration also gives users an option to set permissions on these emails and attachments that transferred to emails. You do not need to worry about compromising email security any more.

Furthermore, SharePoint Outlook Integration also allows users to map metadata of Outlook emails. This feature ensures that all Outlook emails and attachments can still maintain their integration when they are stored on SharePoint. And it also means users can search emails according parameters like subjects, time, senders, and receivers of emails, as they do on Outlook.

SharePoint Outlook Integration is an ideal tool for small and medium size businesses. They can accomplish email backup and collaboration with a small budget and without going through lengthy configuration. SharePoint Outlook Integration also, like other SharePoint web parts and add-ons from SharePointboost, is a 30-day free trial tool. Users can try before they buy any of products from SharePointBoost.
